Why September Feels Like New Year’s Day for Event Planners
For most people, the year begins in January. For event planners, it begins in September.
After a few quieter weeks over the summer, everything changes almost overnight. The iced-lattes are fading out, the out-of-office replies are few and far between, our unread emails start to rack up. We’re the first to admit that it catches even the most organised among us off guard.
We see it every year.
One minute we’re catching up, talking about our summer holidays and the next, our inbox is full of Christmas parties, strategy day requests, awards dinner briefs, kick-off meetings and “we need a venue… yesterday” enquiries.
Deep breath, and say hello to September.
What Everyone Is Thinking
Christmas in September really is a thing. It suddenly becomes a priority, with the most popular dates disappearing quickly. Autumn conferences and client events move from ideas to confirmed bookings, while conversations about next year’s meetings, product launches and company celebrations begin to gather pace.
For many businesses, budgets are back on the table too. Teams return with fresh ideas, renewed energy and ambitious plans they’d been thinking about over the summer. Suddenly there’s a lot to organise, and not a lot of time to do it.
It’s one of the reasons we love this time of year.
There’s a real sense of momentum. Venues are buzzing, planners are full of ideas and every brief is different. One morning we might be helping a client find the perfect Christmas party venue with an outdoor space and by the afternoon, we’re walking through a space for a leadership conference of 200 people, or sourcing somewhere completely unexpected for a product launch.
No two days are ever the same.
What has changed over the years, though, is how clients search for venues.
It’s no longer enough to find somewhere available. Event planners are looking for spaces with personality. Somewhere that reflects their brand, excites their guests and offers an experience that’s memorable before the event has even begun.
That’s why September is one of our busiest months for venue visits.
We’re out meeting venue teams, exploring new openings, revisiting old favourites and keeping a close eye on the spaces we know our clients will love. If a venue has launched a rooftop terrace, unveiled a refurbishment or introduced a new private dining room, chances are we’ve already seen it, and added it to our list.
Our team isn’t quite ready to put away their sun cream either, but if there’s one piece of advice we’d give at this time of year, it’s simple. Don’t wait.
The best venues won’t stay available for long, particularly for November and December.
